The state's official electronic mailbox — automatic for the self-employed, and legally binding once delivered.
What this actually is
A data box (datová schránka) is an official electronic mailbox run by the state. Messages delivered to it count as legally served whether or not you read them, and self-employed people with an IČO have one set up automatically. Ignoring it is how deadlines get missed.
Who it applies to
Self-employed people, company directors, and anyone who activates a personal data box voluntarily.
When it's required
As soon as you receive the access credentials — normally by post after your IČO is issued.
Step by step

Watch for the credentials letter
Access details arrive by post to your registered address. Chase them if your licence is issued and nothing arrives.

Log in and change the password
Use the official portal at mojedatovaschranka.cz.

Turn on email notifications
Otherwise you only find out about a message after it is deemed delivered.

Understand the delivery fiction
A message is treated as delivered ten days after it arrives, even if unopened.

Use it for filings
Tax returns, insurance overviews and office correspondence can be sent from it without a separate signature.
